RIYADH · EXHIBITOR PLANNING
Planning your exhibition stand at RICEC in Riyadh
Before commissioning a stand design, confirm the event, your allocated space and the current organiser manual. A clear brief helps your purchasing team compare like-for-like proposals and helps the production team plan a stand that can be delivered.
VAV Grup presents Riyadh Stands for exhibition design, production scope and installation coordination. Riyadh coordination can be supported through a local partner; the delivery team, responsibilities and schedule are confirmed for each project.
Prepare my RICEC stand briefFirst, confirm the right venue
RICEC stands for Riyadh International Convention & Exhibition Center. The Saudi Build organiser identifies the venue on King Abdullah Road in Riyadh. Use your own event's booking confirmation and exhibitor instructions to confirm the hall, entrance and delivery location. Do not substitute instructions for Riyadh Front or another Riyadh venue.

Send a brief that can become a production scope
- Event and allocation: event name and edition, stand number, hall, measured floor plan and open sides.
- Commercial objective: product demonstrations, buyer meetings, launches or hospitality. Identify the main action you want visitors to take.
- Products and equipment: dimensions, weight, display method, handling needs and electrical or other service requirements.
- Brand assets: logo files, approved colours, language requirements and print-ready artwork owners.
- Functional zones: reception, display, seating, meeting room and secure storage. Rank essentials before optional features.
- Time and approvals: decision-maker, artwork deadline, required handover and the organiser's current installation and dismantling windows.
- Budget and boundaries: budget range and whether transport, installation, equipment rental, venue services and dismantling belong in the same proposal.
Separate contractor work from organiser services
A drawing does not establish who orders power, internet, lifting, rigging or other venue services. Ask the proposal to identify the responsible party for each item, the approval route and any excluded charges. Use the current event manual to determine which services require an appointed provider.
Compare proposals on the same basis
Request a written specification alongside the design: structure and finishes, graphics, lighting, furniture, screens, storage, transport, installation and dismantling. Distinguish purchased items from rentals. Check who owns reusable components and who manages removal after the show.
Ask for relevant completed work, the proposed delivery team and named approval responsibilities. Group production experience is useful evidence, but it is not proof that a contractor owns a factory in Riyadh or has approval for your particular event. Review the VAV Grup delivery and production evidence on our service page.
Use an agreed handover checklist
- Confirm layout, branding and product positions against the approved drawing.
- Check lighting, display equipment and any demonstration setup with the responsible technician.
- Inspect floor edges, finishes, storage locks and cleanliness.
- Record outstanding items and the person responsible for resolving them.
- Confirm the onsite contact and post-show dismantling arrangements.
These checks belong in the agreed scope. They do not replace venue safety inspections or permissions required by the organiser.
Questions before requesting a quote
Can we start before the technical manual is available?
Yes, we can discuss the visitor journey, products and design direction. Final technical commitments require the current manual and confirmed allocation.
Can you give a price from the stand area alone?
Area is a starting point, not a full specification. Layout, finishes, equipment, access, services and timing must be reviewed before a comparable proposal can be prepared.
Is a short-notice project automatically accepted?
No. Capacity, approvals, procurement and installation access must be checked before a delivery commitment is made.
Discuss your RICEC stand with our team
Open a WhatsApp draft and add your event name, stand area and handover date. You review and send the message yourself; opening the link does not submit a quote request automatically.
